Working With Us

From getting the essentials right, to unlocking growth-focused services.

Here’s how we partner with you:

At Optimised Accounting, we make sure the fundamentals are done right and on time.

With clean data and peace of mind in place, you’re free to focus on what really matters: running and growing your business.

The Essentials Package

Accurate numbers mean better decisions. Our Essentials Package keeps your accounts up to date and your tax obligations in check so you can stay ahead and focus on what you do best.

It’s not a one-size-fits-all service. We tailor your essentials to suit your business size, structure, and goals, giving you the right level of support and peace of mind all year round.

What’s typically included:

  • Regular bookkeeping reviews and BAS preparation (monthly or quarterly)
  • Regular income tax forecasting and instalment calculations
  • Management of business obligations such as ASIC, Division 7A, FBT, and STP
  • Pre-EOFY tax planning meeting with advice and strategies
  • Assistance with trust distribution strategies and documentation
  • Preparation of annual financial statements
  • Preparation of annual business and personal tax returns

Our service includes time for those 10-minute calls and emails about the questions, ideas, and decisions that come up throughout the year, helping you run your business with confidence.

With the essentials covered, you’ll have accurate numbers, fewer surprises, and a clear view of where your business is heading.

Beyond the Basics

The essentials are the default, the rest is when humming.

Once your foundations are strong, you can build further. Our additional services are designed to help you protect your business, plan ahead, and create opportunities for growth.

Services include:

The right structure makes a world of difference — for asset protection, tax efficiency, and future flexibility. Whether you’re setting up for the first time or realigning as your business grows, we’ll ensure your structure supports your long-term goals.

For clients who want more control of their super, we provide expert SMSF setup, compliance, and ongoing management. We make sure the fund is structured correctly, meets obligations, and aligns with your retirement strategy.

Cashflow is the lifeblood of any business. We help you see clearly what’s coming in and going out, build forecasts, and plan ahead — so you can make confident decisions without fear of running short.

Accurate records are the bedrock of everything else. While many of our clients handle day-to-day bookkeeping, we also offer accounts management for those who prefer to hand it over. This ensures your data is always clean and ready for deeper conversations.

Go beyond the compliance numbers. We help track KPIs, measure performance, and spot opportunities to improve profitability and efficiency — so you can grow on purpose, not by chance.

Sometimes you just need a sounding board. We’re available for those short, practical questions as well as tailored guidance for bigger decisions. With us in your corner, you get advice you can trust when it matters most.

Planning ahead makes the difference between reacting and leading. We work with you on advanced tax strategies, scenario planning, and long-term strategy — looking beyond the current year to make sure your business and personal goals are aligned.

These services build on the essentials, giving you the insights and strategies to make smarter decisions and achieve your goals with confidence.

FAQ’s

Getting started

The Essentials Package keeps your foundations in order. If you’re looking for more, we also offer Beyond the Basics services such as business structuring, cashflow forecasting, SMSFs, and advanced tax and strategic planning. These can be added as you need them.

If you’re already using Xero, there are no setup fees. When you come on board, we include a Business Health Check to make sure your Xero file and records are accurate. If we find issues that need fixing, we’ll provide a scope and fee estimate before moving forward.

We’re a Xero-only firm, so we’ll help migrate you across if you’re currently using another system like MYOB or QuickBooks. The conversion process depends on your data volume and current setup. We’ll provide a tailored quote before we begin the transition.

No. While we have extensive experience with construction, trades, medical, professional services, and retail, we work with a wide range of small and medium businesses. What matters most is that you’re serious about accurate numbers and proactive advice.

Yes. We know business and personal finances are closely linked, so we work with business owners and their families to make sure everything fits together.

We’re a Xero-only firm because we believe it gives clients the best experience: real-time data, seamless integrations, and easy collaboration. It means we can work more efficiently and give you better insights.

Most accountants only appear at the end of the year with a tax return and a bill. By then, it’s too late to change the outcome. We do things differently: quarterly reviews, forecasting, and proactive planning so you’re always ahead and not reacting after the fact.

It’s simple:

  1. Reach out for a quick chat.
  2. We’ll do a Business Health Check on your structure, past returns, and data.
  3. If rectification is needed, we’ll provide clear pricing and get things up to scratch.
  4. You roll into the Essentials Package and ongoing support.

Bookkeeping & Records

Yes. As part of our onboarding, we conduct a Business Health Check, where we review your Xero file, your last lodged return, and your current year data. This helps us understand the quality of your records and ensures we can support you properly. If fixes are needed, we’ll give you a clear plan and pricing before moving into regular work. If you’d like to improve your bookkeeping, we can also provide training options to make sure you’re confident and efficient in Xero.

That’s okay. If your records aren’t accurate, we’ll identify what needs correcting during the Business Health Check. If additional work is required, we’ll discuss the scope and provide pricing before starting.

Yes. While many of our clients handle day-to-day bookkeeping themselves (or use a bookkeeper), we also offer Bookkeeping & Accounts Management if you’d prefer us to take care of it.

That’s great — we work alongside bookkeepers. In many cases, bookkeepers will prepare and lodge the BAS as part of their service. We still carry out our own quarterly review of your Xero data, because it gives much more than just a BAS check. By reviewing your numbers each quarter, we can:

  • Spot errors or issues early (before they snowball).
  • Make sure the figures are accurate for tax and compliance.
  • Keep your income tax forecasting up to date.
  • Provide proactive advice based on current data, not old information.

Throughout the year, we’re also available to support your bookkeeper — answering questions on complex issues, and providing feedback if anything in the file needs attention.

In the end, our preference is to lodge the BAS after our review, as it reduces the need for amendments. But if you’d prefer your bookkeeper to lodge the BAS after our checks, that’s fine too — the key thing is that your numbers are accurate and reliable.

Fees & Billing

Our fees are quoted for a full financial year of services. For the Essentials Package, we provide one annual fee that covers the agreed scope of work, and then break it into monthly instalments for ease of cashflow. Even if you join part-way through the year, we’ll review the full year to make sure everything is covered, and if certain work isn’t required, we’ll ensure the fee is fair. This way, you know exactly what’s included with no surprises.

We bill for the essentials by direct debit in monthly instalments. If extra work outside your package is needed, we’ll always discuss it with you first and provide a clear quote before starting.

We review your package annually to make sure it still suits your needs. If your circumstances change significantly (for example, rapid growth or a major restructuring), we may review your pricing earlier, but always in consultation with you. Our goal is to give you certainty, while making sure your package reflects the level of work required.

We’re always here to help. If you need additional services outside your package — for example, advice on structuring, SMSFs, or cashflow management — we’ll confirm the scope and fees before we start.

Yes. Our work doesn’t begin and end with the tax return – it happens all year through quarterly reviews, tax planning, and forecasting. If you leave early in the new financial year, we’ll still complete the financial statements and tax return for the prior year. Refunds don’t apply, because the bulk of the work has already been delivered during the year.

You’re free to end the engagement at any time. We’ll finalise any outstanding work, provide you with your records, and liaise with your new accountant to ensure a smooth handover.

General

We can help with the accounting and tax aspects of payroll, but we don’t provide HR or industrial relations advice. If you need specialist help, we can connect you with trusted partners.

Our Audit Insurance (if you opt in) covers our professional fees in the event of an ATO or government audit. This doesn’t cover tax payable, penalties, or interest, but it does mean our time and support are taken care of.

We aim to complete quarterly work within 14 days of receiving your information, and annual work within 28 days. To keep things on track, we’ll send reminders, but timely submission of your records is essential.
